ArchivMD exists to give physicians their time back, and to give pre-med students like me a real, close-up view of the profession before we ever apply. Every note I write is one less hour a doctor spends charting instead of living their life or seeing another patient. Every chart I complete is also a lesson in how medicine actually works, from someone who's earned the right to be in the room.
My goal isn't just to build this for myself. I want ArchivMD to grow into something future generations of pre-meds can use the same way: a real pathway into clinical exposure, built and run by people who were exactly where they are now. If it works, it becomes a permanent bridge. Physicians get their time back, and every class of pre-meds after mine gets a door into medicine that didn't exist for me.

Scope
This policy covers two separate things: (1) this website, which does not collect any personal information itself, and (2) the ArchivMD documentation service, which handles Protected Health Information (PHI) on behalf of contracted physician clients under a signed Business Associate Agreement (BAA).
This Website
archivmd.com is a static informational page. It does not use cookies, does not run analytics or tracking scripts, and has no forms or account system. The only data leaving your browser is a request to Google Fonts (to load our typeface) and, if you click "Book a Free Call," a handoff to Calendly, which operates under its own privacy policy. We do not receive, store, or process any personal information through this site.
The ArchivMD Service (Physician Clients)
For contracted physician clients, ArchivMD acts as a HIPAA Business Associate. PHI (patient recordings and derived clinical notes) is:
- Transmitted and stored only through vendors that have signed a BAA with ArchivMD (e.g., transcription and secure file delivery tools)
- Never used to train AI models
- Never disclosed to any third party outside the documentation workflow
- Retained only as long as necessary to deliver and revise notes, then securely deleted per our written data retention schedule (available on request)
Patients are recorded only with the treating physician's consent process — physicians are contractually required to obtain and document patient consent to recording and AI-assisted documentation before any encounter is captured.
Your Rights
Physician clients and their patients may request details on how their data is handled by contacting vic@archivmd.com. Any suspected data incident is reported per our breach notification procedure, consistent with HIPAA requirements.

The Service
ArchivMD provides done-for-you AI-assisted clinical documentation to independent physician practices. AI-generated drafts are reviewed and corrected by a human before delivery. ArchivMD does not practice medicine, does not finalize any medical record, and is not the legal author of any clinical note — the physician client always reviews and attests to each note before it becomes part of a patient's medical record.
Client Responsibilities
- Reviewing and signing every note before it is entered into the permanent medical record
- Obtaining and documenting patient consent to recording and AI-assisted documentation, consistent with applicable state law
- Executing a Business Associate Agreement (BAA) with ArchivMD prior to sharing any PHI
No Contracts, Cancellation
Service is billed month-to-month with no long-term contract. Either party may cancel with 30 days' written notice. The free pilot period carries no payment obligation and may be discontinued by either party at any time.
Limitation of Liability
ArchivMD's liability is limited as set out in the signed service agreement executed with each client, which governs over this page in the event of a conflict. This website is provided "as is" for informational purposes and does not itself constitute a service agreement.
